An AI receptionist answers your business line, books appointments, answers common questions and sends you a summary of each call. The right one depends on how many calls you get, whether you need a human backup, and which calendar and CRM you use. This guide walks through those decisions in order.
Quick answer
- Lowest published entry prices: Upfirst Starter ($24.95/mo), Dialzara Business Lite ($29/mo) and Rosie Professional ($49/mo).
- AI with a live-human fallback: Smith.ai (free tier for 25 calls/mo, AI plans from $150/mo) and Abby Connect (from $165/mo).
- All-in-one front office (CRM, SMS, chat): My AI Front Desk ($99/mo, $79/mo annual).
- Already need a business phone system: Quo (Sona AI agent) or Allo (AI receptionist add-on).
- Don't want to set it up yourself: done-for-you setup for $199/mo.
Step 1: Count your calls and minutes
Vendors bill in three different ways, so the cheapest headline price is often not the cheapest bill:
- Per minute: Rosie, Dialzara and Bland meter talk time.
- Per call: Smith.ai and Upfirst plans are sized by number of calls.
- Per seat or flat: Quo and Allo charge per user; Goodcall plans are sized by unique callers.
Pull last month's call log from your phone provider. Note the number of calls, the average length and how many came after hours. An independent price survey found most small businesses on published AI plans land between about $50 and $250 a month, and overage fees, setup fees and paid add-ons for booking or texting are where bills grow (https://www.leadsixty.com/blog/how-much-does-an-ai-receptionist-cost/).
Step 2: Decide whether you need a human fallback
AI-only services answer every call instantly and in parallel, then transfer to you when a rule says so. Hybrid services (Smith.ai, Abby Connect) and live services (Ruby) put a trained person on calls the AI can't handle. Choose a hybrid if your calls are emotional, high-stakes or regulated, such as legal intake or medical. Our AI vs live answering guide compares the two in depth.
Step 3: Check booking and CRM fit
Booking is the feature that turns answered calls into revenue. Before you sign up, confirm the plan tier you'd buy connects to your calendar (Google, Outlook, Calendly or industry software such as Clio or ServiceTitan), natively or through Zapier. Some vendors only include booking on higher tiers. Each review page lists that vendor's integrations.
Step 4: Plan how calls reach you
- Keep your existing number and forward calls (all-day, after-hours or no-answer forwarding).
- Decide who gets urgent transfers and what counts as urgent.
- Write the 10 questions callers ask most. These become the receptionist's script.
Step 5: Test before you switch
Most vendors offer a trial or free tier. Forward real calls for a week and make test calls yourself: a booking, an after-hours emergency, a pricing question and a caller who asks for a human. Score each call on whether it got the facts right, booked correctly and handed off correctly.
